A Business Process Management (BPM) Application is a software solution designed to model, execute, monitor, and optimize an organisation’s business processes.
It provides a systematic approach to improving workflows by digitising and automating routine tasks, ensuring consistency, and enabling real-time insights into process performance.
A2O’s Business Process Management (BPM) application implementation transforms informal, ad-hoc business processes into fully documented, compliant standard operating procedures (SOP's) aligned with industry best practise.
Operational Efficiency: Faster delivery through streamlined workflows, reducing waste and manual effort resulting in improved overall productivity.
Improved Quality: Automated parameter monitoring, escalation and event triggering.
Transparency: Enables real-time tracking and performance measurement to all stakeholders.
Organisational Agility: Easy adaption in the organisation to updated and changed operational procedures.
Standardisation: Formalises ad-hoc, inconsistent business processes into structured SOPs.
Compliance: Ensures processes align with regulatory standards and industry best-practise.
Digitisation & Automation: Converts manual workflows into streamlined, tech-enabled, integrated systems.
Scalability: Builds operational procedures and 'ways of working' that grow with your business.
Knowledge Retention: Captures and documents critical business know-how, reducing dependency on individuals.
Business Growth: Lays the foundation for sustainable and measurable growth.
The A2O BPM App Implementation Process helps clients shift from undocumented, "in-their-mind" SOP's to digitised and automated business processes that are easy to measure, monitor, and scale.
Process Definition: The first step is to define the organisation's current operating procedure(s). This could be one, a few or a department, starting with the processes that will have the biggest impact on the organisation, if added to the BPM App.
Current processes (operating procedures) are mapped out and converted to documented flows, visible to all Stakeholders, typically in Visio flowchart (BPMN diagrams) type drawings.
Process Review: The processes are reviewed by all stakeholders and updated where applicable after the selected operating procedures have been defined and documented, comparing it to the organisation's and industry's best practise as well as ensuring compliance with any relevant industry standards like ISO, EHS, POPI and more.
Process Digitisation: The selected processes are digitised by authoring it into the BPM (Business Process Management) Application after it has been defined, reviewed and accepted as best practice in the organisation.
Process Automation: During the authoring activity (process setup in the BPM Application), user groups, task transitions and escalations are defined, ensuring automated flow and activity escalations. Further automation is considered through existing system integrations and the introduction of IOT devices where possible.
Flow end-to-end Testing: New processes in the BPM Application are subjected to full end-to-end testing. Flow's are placed into "Beta" state, allowing stakeholders to experience the flow from start to end in a real life environment before releasing it into the organisation.
Flow Activation: Flow implementation and activation follows final testing and release. Part of the activation process is change management in the organisation, which includes end-user training and support throughout the process.
Continuous Improvement: The above process is repeated with the implementation of other operating procedures in the organisation and the continuous monitoring and imporving of existing flows.
